Summary:
The Bids and Contract Administrator is responsible for coordination, preparation, and submission of competitive bids as well as for the administration of Benco's U.
S.
Government contracts.
Do These Responsibilities Interest YOU? Work with sales and customer service personnel to assemble bids to respond to RFPs (Request for Proposals) put out by customers such as state& city governments, hospitals, prisons, schools, large group dental practices, CHC's (Community Health Centers) etc.
Coordinate the collection of information and data necessary for the bids, review contractual documentation for possible issues and drafts and submits final bid packages.
Train sales staff on the need to have competitive bids reviewed and assembled by contracts administration.
Use software tools and automation to improve the quality and efficiency of bid review and submittal.
Work directly with the field and customers on bid requirements.
Contact sales staff and sales management, Finance, Legal and all other pertinent departments as needed with questions.
Troubleshoot questions and problems with systems and processes.
Ensure appropriate resolution for such issues.
Prioritize and delegate daily work assignments, ensuring all deadlines are met.
Resolve customer issues with RFP submissions and contract administration deficiencies.
Maintain accurate bid records.
Save and file all reports for future reference.
Facilitate contract negotiations between customer and appropriate internal sales contact.
Complete reports as needed on won/loss record and for any issues - analyzes lost bids, document reasons, analyze and propose any needed changes that would increase the opportunities for bid success.
Ensure that all communications with customers (external/internal) are courteous, cordial, professional and timely.
Seek out institutional and government contracting opportunities via web searches and other sources and, in conjunction with sales decides which such opportunities should be pursued.
Administers Benco's federal government contracts.
This includes regular annual reporting, working with internal areas toward contact compliance, facilitating process change for compliance, liaison for government Contracting Officers, negotiating modifications and renewals.
Work with third-party consultants for government compliance matters.
Chief point of contract with government contracting personnel.
Keep management informed by providing accurate and timely information that ensures customers are served efficiently in meeting their expectations in routinely scheduled management review meetings.
Recommend changes as needed.
Assist in the process for large project progress payments (lien waivers, AIG documents, and any other ancillary paperwork) to ensure receipt of timely payment.
Responsible for special projects and performs other duties as required - may prepare large bids as required, review formal bids ensuring compliance with specifications Coordinate with insurance carrier for bid bonding and contract administration and equipment installation.
Perform other duties as assigned to support the efficient operation of the department and company.
Do YOU Meet These Requirements? Associate's degree or equivalent experience.
Two years project management, contract or bids experience.
Knowledge of contract processes and government contracts is essential.
Detail oriented, excellent verbal and written communication skills, proficient in Excel and Word, project management experience, multi-tasking, self-directed, understands importance of meeting deadlines; ability to work with multiple levels in the organization.
The base pay range of $20-25/hour represents the low and high end of the hiring salary range for applicants that meet the minimum qualifications.
Actual salaries will vary and may be above or below the range based on factors including but not limited to location, experience, and performance.
The hiring range listed is just one component of our total compensation package for employees.
Other financial rewards may include bonuses, profit sharing, and Paid Time Off.
