Summary:
In this Event Planner position, you will be responsible for for designing, planning and executing events large and small.
From coordinating concierge customer visits to one of our CenterPoint experiences, to being responsible for planning large sales events with 1,000
attendees.
Event team members are responsible for all facets of the events they are coordinating, including accommodations, food & beverage, travel, itineraries and logistics (room setup, AV).
Event success is defined by satisfaction scores from attendees and event hosts, as well as keeping events within budget.
Team members are expected to work independently with limited supervision while delivering best-in-class events.

Oversee relevant vendor resources on-site to ensure flawless execution of events.
Monitor event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise.
Participate in the negotiation and execution of contracts/agreements with external event sites, hotels, speakers, transportation and audio-visual companies, and other ancillary services for all events.
Conduct site visits as necessary for conference and event locations, prepare RFPs for event services, oversee negotiations, and participate in the decision-making and recommendation process.
Coordinate event-related materials including mobile app configuration, save the dates, pledge cards, invites, programs, etc.
Manage multiple assigned projects in the area of meeting/event planning for a variety of simultaneous meetings, conferences and workshops.
Manage budgets associated with the respective events executed and tasked with making budgetary decisions based on experience and perceived value.
Ensure that assigned meetings are staying within budget.
Ensure that assigned logistical details for meetings are planned effectively (For example:
room set-up, audio visual, transportation, housing, and food and beverage).
Review and reconcile event billing.
Monitor timelines for multiple events and escalate scheduling problems as needed.
Responsible for building and running post-event surveys and other related reporting around customer visits, events and meetings.
Book reservations for CenterPoint VIP customers including hotel, transportation, dinner reservations.
This will also include any reservations that include requests for help with booking additional activities that are tied into the CenterPoint Experience trip.
Work effectively with multiple clients and event hosts to ensure that meeting objectives are met.
Respond to customer and internal client requests in a timely professional manner.
Quickly and professionally handle all telephone, written and electronic inquiries and requests for information.
Responsible for contributing to the design of standards and processes for the team, and executing on those standards, for instance updating the sales event calendar, printing name badges for event guests, etc.
Document and continuously improve all event related processes.
Evening and weekend availability required.
Do YOU Meet These Requirements?Bachelor's degree in marketing or related field or equivalent education experience4-6 years in Event Planning, HospitalityProject management experience a plusThis role requires up to 30% travel.
